Booking Agreement

When you make a booking with Hello Rafiki Tours, you enter into a binding agreement governed by these Booking Terms, our Terms & Conditions, and our Privacy Policy.

A booking confirms that you have read, understood, and accepted these terms.

How to Make a Booking

Bookings can be made through:

  • Our website inquiry forms

  • Email communication

  • Phone calls or WhatsApp messages

A booking is considered confirmed only after payment (deposit or full amount) has been received and acknowledged by us.

Booking Confirmation

Once your booking is confirmed, you will receive:

  • A booking confirmation message or email

  • Tour details, itinerary, or service outline

  • Payment confirmation and next steps

Clients are responsible for reviewing all booking details and reporting any errors promptly.

Payments & Deposits

  • A deposit or full payment may be required to secure your booking.

  • Payment amounts and deadlines vary depending on the service booked.

  • Accepted payment methods will be communicated during booking.

Failure to complete payment within agreed timelines may result in booking cancellation.

Pricing & Inclusions

  • Prices are quoted based on agreed itineraries and services.

  • Inclusions and exclusions will be clearly communicated before confirmation.

  • Any services not listed as included are considered excluded unless stated otherwise.

Prices may change before booking confirmation but will not change after confirmation unless mutually agreed.

Cancellations by the Client

Cancellation terms depend on the type of service booked:

  • Zanzibar day trips

  • Tanzania safaris

  • Mountain trekking tours

  • Accommodation bookings

  • Car rentals

Some deposits may be non-refundable due to commitments with third-party providers.
Specific cancellation terms will be shared at the time of booking.

Changes to Bookings

Client-Initiated Changes

  • Changes are subject to availability and may incur additional costs.

  • Requests should be made as early as possible.

Company-Initiated Changes

  • We reserve the right to modify bookings due to weather, safety, or operational reasons.

  • Equivalent alternatives or solutions will be provided where possible.

No-Show Policy

Failure to arrive at the agreed meeting point, date, or time without prior notice may be considered a no-show, and refunds may not apply.

Travel Insurance

Travel insurance is strongly recommended for all clients.
Insurance should cover:

  • Trip cancellations

  • Medical expenses

  • Emergency evacuation

  • Personal belongings

Hello Rafiki Tours is not responsible for losses covered by insurance.

Health, Fitness & Participation

Clients must:

  • Ensure they are physically fit for booked activities

  • Disclose any relevant medical conditions

  • Follow guide instructions at all times

We reserve the right to refuse participation if safety is at risk.

Accommodation & Third-Party Services

  • Some services are provided by independent third parties.

  • We act as a booking agent and are not responsible for their internal policies.

  • Any issues should be reported immediately during the trip for resolution.

Car Rental Booking Terms

For car rental services:

  • Vehicles are provided subject to availability

  • Clients must comply with local laws and rental agreements

  • Clients are responsible for fines, damages, or misuse

Specific rental terms may apply and will be shared before confirmation

Force Majeure

Hello Rafiki Tours is not liable for delays, changes, or cancellations caused by events beyond our control, including:

  • Weather conditions

  • Natural disasters

  • Government restrictions

  • Strikes or civil unrest

Refund Processing

  • Approved refunds will be processed within a reasonable timeframe.

  • Refund methods depend on the original payment method.

  • Bank or transaction fees may be deducted where applicable.

Client Responsibility

Clients are responsible for:

  • Providing accurate personal and travel information

  • Arriving on time for activities

  • Respecting local laws, cultures, and guides

Governing Law

These Booking Terms are governed by the laws of the United Republic of Tanzania.
